Reg (EU) 2024/1689Generate dossier — €249

You are the DPO and your company just added AI Act compliance to your responsibilities — here is how you generate Annex IV documentation for every high-risk system

As Data Protection Officer, you already know Regulation (EU) 2024/1689. You don't need a consultancy to explain Articles 11 and Annex IV. You need the tool that generates the documentation. AICheck produces 12 PDF documents per system in 45 minutes. €249 per system. 10 systems = €249, not €50,000 in consulting fees.

The DPO's AI Act challenge in numbers

The AI Act assigns documentation obligations to the provider of the AI system (Art. 11). In practice, companies assign AI Act compliance to whoever already handles data protection — the DPO. That means you. The documentation under Annex IV covers 9 mandatory sections: intended purpose, training data, metrics, risk analysis, human oversight, and more.

DPO Consulting, DPO Centre, and similar consultancies charge €5,000–€20,000 per system for documentation services. AICheck generates the same 12-document structure at €249 per system, self-service.

DPO workflow: from inventory to documented compliance

As DPO, your workflow for AI Act documentation follows six steps.

1
AI system inventory
Map every AI system in the organisation. Interview department heads. Use AICheck's free checker to classify each system under Annex III.
2
Prioritise by risk category
Annex III lists 8 categories. Start with the systems already in production that fall under categories 4 (employment) and 5 (essential services).
3
Collect technical inputs
For each system, gather: intended purpose, training data description, performance metrics, risk mitigation measures. The AI team provides; you structure.
4
Generate with AICheck
Enter the technical inputs into AICheck. 45 minutes per system. The tool structures everything into 12 PDF documents following Annex IV.
5
Review and sign off
Cross-check each dossier against the 9 points of Annex IV. AICheck allows 10 regenerations per licence for corrections.
6
Report to management
Present the compliance status: systems documented, systems pending, timeline to 2 August 2026. Attach the generated dossiers as evidence.

Mistakes DPOs make with AI Act documentation

ERROR COMÚN

Treating AI Act like GDPR

The GDPR is about data processing. The AI Act is about system behaviour. Article 11 requires documentation of the system's purpose, architecture, training methodology, and performance — not just data flows. The two frameworks overlap but are not interchangeable.

ERROR COMÚN

Delegating documentation to the AI vendor

If your company is the provider under Art. 3(3), the documentation obligation is yours. The vendor may provide technical data, but the Annex IV dossier is your responsibility as provider.

ERROR COMÚN

Hiring a consultancy without comparing costs

At €5,000–€20,000 per system, a consultancy for 10 systems costs €50,000–€200,000. AICheck at €249 × 10 = €249. The DPO who presents both options to the CFO gets budget approved faster.

What each ZIP contains: 12 documents per system

Each AICheck licence generates a ZIP with 12 PDF documents for one AI system. For 10 systems you need 10 licences and obtain 120 documents in total.

Structured documentation vs. third-party audit

● CAPA 1

What AICheck does

Generates the 12-document dossier under Art. 11 and Annex IV. You provide the technical inputs, AICheck structures them into compliant documentation. Self-service, browser-side, no data leaves your device.

∅ CAPA 2

What AICheck does NOT do

Does not perform a DPIA. Does not audit your AI model. Does not replace the DPO's judgment on risk classification. The Annex IV dossier is one piece of the compliance puzzle — the most time-consuming piece. AICheck solves that piece.

You know the regulation. You don't need someone to explain it. You need the tool that generates the documentation.

What AICheck guarantees and what it does not

AICheck generates a document structured under Article 11 and Annex IV of Regulation (EU) 2024/1689 based on the information you enter. The truthfulness, accuracy and completeness of that information is your responsibility as provider of the AI system.

We guarantee that the document structure follows Article 11 and Annex IV of Regulation (EU) 2024/1689 and that the legal references cited are correct as of the latest verification date. We do not guarantee that a specific document will be accepted by a market surveillance authority in a specific case, nor by a commercial buyer in a procurement process.

AICheck is not legal advice. For specific situations, consult a lawyer or specialised regulatory consultancy.

Frequently asked questions — DPO and AI Act documentation

Is AI Act documentation the DPO's responsibility?
The Regulation (EU) 2024/1689 assigns documentation obligations to the provider of the AI system (Art. 11). In practice, many organisations assign this to the DPO or compliance officer. Whether it is formally your responsibility depends on your organisation's internal governance structure.
Does AICheck replace a DPIA?
No. A Data Protection Impact Assessment under GDPR Art. 35 is a separate obligation. AICheck generates the Annex IV technical documentation under the AI Act, which covers system architecture, training data, and risk analysis — different from a DPIA, though some inputs overlap.
Can I use AICheck documentation in a GDPR audit?
The Annex IV dossier is not a GDPR document, but it contains structured information about the AI system's purpose, data processing, and safeguards that may support a GDPR audit. It is complementary, not substitutive.
Is this a subscription?
No. One-time payment. The licence includes 30 days of editing and 10 regenerations. The downloaded PDF is yours to keep.
Can I request a refund?
Under Article 16.m of Directive (EU) 2011/83 on consumer rights, by activating the licence you give express consent for the immediate generation of the digital content and waive the 14-day withdrawal period. Refunds are accepted only for verifiable reproducible technical failures.
What if the regulation changes?
If the regulation changes during the validity of your licence, you may regenerate the document with the updated version of the generator at no additional cost.
⚠️ Important notice: AICheck is a self-assessment documentation tool, not legal advice and not a third-party audit. The document under Article 11 and Annex IV of Regulation (EU) 2024/1689 is generated from your input data. You are responsible for the accuracy of the data you provide. AICheck does not replace a qualified professional assessment.
